A content calendar, month by month
Agencies don’t plan in endless feeds. They plan a month for a client, then ask that client to sign it off. The calendar is built around exactly that unit.
- Day view for writing, month grid for reviewing — one screen, one switch
- A north-star goal pinned above every month
- Platform balance and approval progress in the rail beside it
Every plan starts with a month
Starting a plan asks one question first: which month? Months that already hold posts are marked as taken, so “new plan” never quietly lands on top of work someone else started.
Each month carries a north-star goal — the one sentence the posts are meant to serve — pinned at the top of the screen where both the team and the client can see it. It is the question every post in the month gets judged against, by you while planning and by the client while reviewing.
How a month comes together
- 01Pick the month and write its goal
- 02Open the day view and add posts to the days they belong to — caption, media, networks, time
- 03Watch the rail: how many posts each network has, which days are thin, where the month leans
- 04Switch to the month grid to read the whole month the way the client will
- 05Send it for review; each post’s colour changes as the client decides
Nothing in that list happens on a different screen. The composer opens over the calendar, the reviewer opens over the calendar, and closing either one puts you back exactly where you were.
Write in the day view, review in the month grid
Building a month and reviewing it are the same month, so they share one screen with a day/month switch rather than living in two places that drift apart.
- Day view: the writing view, one day’s posts laid out with room to work
- Month grid: the reading view, the whole month colour-coded by status
- Filters for status and platform apply to both views at once
- Hover any card to jump straight into the editor
A rail that answers the question the month is asking
Before anything is sent, the rail beside the calendar shows the plan: how many posts per network, which days are thin, where the month is lopsided. Once posts go out for review it adds the approval ledger — approved, waiting, changes requested — so you can see what is still blocking the month.
Clients never see the planning half. Platform balance is the agency’s instrument for building a month, not something the client needs in order to judge it.
One colour per status, everywhere
Every post carries one status, and the status has one colour across the calendar, the review screen and the approvals queue — so nobody has to relearn what green means on a different page.
| Status | What it means | Who sees it |
|---|---|---|
| Draft | Still being written | Your team only |
| Awaiting review | Sent to the client, no decision yet | Team and client |
| Changes requested | The client wants a fix, with a note saying what | Team and client |
| Approved | Signed off and ready to publish | Team and client |
| Rejected | The client doesn’t want it to run | Team and client |
| Expired | Nobody decided before the approval window closed | Team and client |
Formats are worked out, not picked
Add a video and the post is a video. Add several images and it is a carousel. There is no format dropdown to forget to change, so the calendar always shows what will actually publish.
One calendar per client
Each client has a workspace of their own, and each workspace has its own months. Switching clients switches the whole calendar — posts, goals, approvers, connected accounts — so ten brands never blur into one feed, and a post can’t end up on the wrong client’s month. For how to fill a month well, see the monthly calendar guide.
Content calendar, answered
Can I plan several months ahead?
Yes. Each month is its own plan, and you can start any future month from the month picker. Months that already have posts are flagged so you don’t start one twice.
Does my client see drafts?
No. Drafts stay on the agency side until you send them for review — clients only ever see posts that have been shared with them.
Can I see every client’s posts in one calendar?
Each client has their own workspace and calendar, which keeps brands separate. The review queue in each workspace lists everything still waiting on a decision, whatever month it falls in.
Do I have to choose whether a post is a carousel or a video?
No. The format follows the media: a video makes a video post, several items make a carousel, one image makes an image post.
The whole workflow.
